Program assets

Upload your logos, images, and approved copy into 1 asset bank per program. Every athlete you approve pulls from the same bank, so the creative is yours.

What program assets are

Program assets are the creative files you give the athletes in one program: your logos, images, video, and approved copy. You upload them once per program. Every athlete you approve for that program pulls from the same set.

This keeps the work in one place. You are not emailing a logo to each athlete or pasting copy into separate messages. You upload it once, and the athletes you approve see it.

Assets are set per program, the same place you set commission and your tracking link details. One program, one asset bank.

Who can see your assets

Only athletes with an approved application to the program can open its asset bank. Athletes you have not approved, and athletes in other programs, cannot see your files. Approval is the gate.

What you can upload

Each asset is an uploaded file. You label it and order it, and athletes pull it from the bank.

Use a PNG or SVG for logos so they stay sharp on mobile. Athletes check the platform on their phones, so favor files that hold up at small sizes.

Upload your logos and images

  1. Open the program in program setup.
  2. Add an asset and pick the kind: logo, hero image, lifestyle image, product image, or video.
  3. Upload the file. It is stored and linked to the program.
  4. Label it so athletes know what it is, for example "Spring hero, square."
  5. Set the order. Assets show in the order you choose, so put your most-used files first.
  6. Save. The asset is live in the bank for every approved athlete.

You can reorder, relabel, or remove an asset later. Removing one takes it out of the bank; it does not change anything an athlete already downloaded.

Provide approved copy

Approved copy ships as an uploaded file, not as text typed into a box on the page. You write your copy in a document, save it, and upload it as a copy doc.

To add approved copy:

  1. Write the copy in your own document: captions, product claims, dos and don'ts, anything you want athletes to follow.
  2. Save it as a file, a PDF or a plain text file.
  3. Upload it to the program as a copy doc and label it clearly, for example "Approved captions, no health claims."
  4. Save. Approved athletes download it and follow it.

Why copy is a file, not a text box

A file gives you one version of record. The words an athlete posts are the words you signed off on, in the document you uploaded. If you update the copy, upload a new file and remove the old one, so there is never a question about which version is current.

This matters most for regulated claims. Health and wellness copy often has lines athletes must not change. A copy doc lets you spell those out and keep them in one place.

The asset bank athletes pull from

Once you save your assets, they form the program's asset bank. This is the shelf approved athletes pull from.

  • One bank per program. Each program has its own assets. An athlete in two of your programs sees each program's bank separately.
  • Approval is the gate. Only athletes with an approved application to the program can open its bank. This is enforced at the data layer, not just in the interface.
  • Athletes pull, they do not edit. Athletes download your files to use in their posts. They cannot change the files in your bank or upload their own into it.
  • Updates flow through. Add a file and approved athletes see it. Remove one and it leaves the bank. Files athletes already downloaded stay on their side.

The point is that the creative an athlete posts is creative you provided. You control what is in the bank; athletes choose what to pull.

How assets fit the rest of the program

Assets are one part of a program. The commission you set, the tracking link each athlete shares, and the asset bank all live under the same program.

A common order of work:

  • Set your commission and publish the program.
  • Upload your logos, images, and approved copy to the asset bank.
  • Approve athletes; each one gets a tracking link and access to the bank.
  • Athletes post using your assets and their tracking link, and attributed sales are credited automatically.

When you approve athletes, they hear from you by email. You can put your name and logo on those emails too; see branded partner emails.
